a) Job Specifications

Duties and responsibilities: -

  1. Typing from manuscripts; processing data;
  2. Operating office equipment;
  3. Ensuring security of office equipment, documents, and records; attending to visitors/clients;
  4. Reserving appointments and maintaining the office diary;
  5. Handling telephone calls; and
  6. Ensuring good office layout.

b) Persons Specification

For appointment to this grade, a candidate must have: -

  1. Relevant degree (Public Administration, Business Administration, Office Administration) from a university recognized in Kenya;
  2. Diploma in secretarial studies, preferably KNEC from an institution recognized in Kenya;
  3. Computer literacy with typing speed of 50wpm; and
  4. Compliance with Chapter Six of the Constitution of Kenya.

c) Skills

  1. Proficiency in computer applications;
  2. Communication skills;
  3. Interpersonal skills;
  4. Report writing skills;
  5. Negotiation skills; and
  6. Problem-solving skills.

d) Competencies

  1. Ability to work under pressure;
  2. Ability to work independently and in a team;
  3. Ability to multi-task and prioritize work; and
  4. Demonstrated ability to implement Quality Management Systems.
