a) Job Specifications

Duties and responsibilities: -

  1. Developing and updating file index;
  2. Receiving and filing of records and information;
  3. Making data entries;
  4. Storing and retrieving records and information;
  5. Tracking of files and documents;
  6. Indexing, profiling and distribution of memos;
  7. Circulating of files and documents;
  8. Receiving, filing, retrieving and dispatching of records and information.

b) Persons Specification

For appointment to this grade, a candidate must have: -

  1. Higher National Diploma/Diploma in any of the following field: Library and Information Science, or Records and Information Technology or its equivalent qualification from a recognized institution;
  2. Meets requirements of the Chapter six (6) of the Constitution of Kenya.

c) Skills

  1. Proficiency in computer applications;
  2. Organizational skills
  3. Communication skills; and
  4. Administrative skills
  5. Analytical skills and keen to details.

d) Competencies

  1. Ability to work under pressure;
  2. Ability to work independently and in a team;
  3. Ability to multi-task and prioritize work;
  4. Experience in document indexing;
  5. Demonstrated experience in Filing.
