a) Job Specifications

Duties and responsibilities: -

1. Receiving, Directing and relaying telephone messages;
2. Directing visitors and customers to the appropriate staff member when they come to KEPHIS for services;
3. Receiving and record mails/parcels then distributes them to the relevant office;
4. Maintaining visitor’s book for analysis by respective departments;
5. Ensuring information materials are available at the reception and availing the same to clients;
6. Opening and date stamping all general correspondences;
7. Assisting in the planning and preparation of meetings, conferences and conference telephone calls;
8. Responding to public enquiries;
9. Answering all incoming calls and handle call enquiries whenever possible;
10. Redirecting calls as appropriate and take adequate messages when required;
11. Recording and type all incoming visitors names for analysis per department;
12. Ensuring information materials are available at the reception and request clients to get a copy;
13. Opening the biometric door for clients.

b) Persons Specification

For appointment to this grade, a candidate must have: -

1. At least four (4) years relevant work experience;
2. Diploma in Telecommunications Operations, Front Office Management, Customer Care or its equivalent from a recognized institution;
3. Proficiency in Computer Applications;
4. Good Public Relations Skills;
5. Compliance with Chapter Six of the Constitution.
